General Terms and Conditions – Nordseka Hotels

1. Scope and applicability

These General Terms and Conditions apply to all reservations, stays, offers, and agreements entered into with Nordseka, regardless of the booking channel used.

Where applicable, the Uniform Conditions for the Hotel and Catering Industry (UVH) also apply. In case of conflict, the reservation confirmation shall prevail, followed by these General Terms and Conditions and subsequently the UVH.

By making a reservation, the guest or contracting party agrees to these terms.

2. Reservations and confirmation

A reservation is considered final once confirmed in writing by Nordseka or once confirmed by the booking platform used.

The guest or contracting party is responsible for providing accurate personal, contact, and payment details.

Obvious errors or mistakes in rates, availability, or confirmations do not bind Nordseka.

3. Rates and taxes

Room rates include VAT unless explicitly stated otherwise.

Local tourist tax and other local levies are excluded unless confirmed in writing and will be charged in accordance with local regulations.

Additional charges for extra persons, room upgrades, parking, or ancillary services will be communicated during the booking process or in the confirmation.

4. Payment and invoicing

Nordseka may require a payment guarantee, such as an advance payment, credit card authorisation, or a business payment agreement.

Payment by invoice is available exclusively to business clients and is only subject to written approval by Nordseka.

Payment by invoice is not available to private consumers.

Invoice payment terms are as agreed in writing. In case of late payment, statutory commercial interest and reasonable collection costs may be charged.

Providing a payment method or payment guarantee constitutes authorisation for Nordseka to collect amounts due in accordance with these terms.

5. Cancellation and amendments

Cancellation conditions depend on the rate and type of reservation and are stated in the reservation confirmation or agreement.

Cancellations and amendments are only valid once confirmed in writing by Nordseka or successfully processed via the booking channel.

Amendments are subject to availability and may result in a rate adjustment.

For group bookings, the conditions agreed in the offer or contract apply, including the cut-off date, the rooming list deadline, and the room reduction arrangements.

6. No-show

A no-show occurs when the guest or group fails to arrive on the scheduled arrival date without timely cancellation.

For individual flexible reservations, the no-show fee equals 100 percent of the room rate for the first night, including VAT and excluding local taxes.

For non-refundable reservations and group bookings, the no-show fee equals 100 percent of the total reserved stay.

Where a payment guarantee has been provided, Nordseka is entitled to charge the applicable no-show fees using the agreed payment method.

Nordseka reserves the right to cancel remaining nights and release the rooms.

7. Check-in and check-out

Check-in and check-out times are communicated at the time of booking and may vary by location.

Late check-out may result in additional charges.

Early departure does not entitle the guest to any refund unless agreed in writing.

8. House rules and conduct

Guests must comply with Nordseka’s house rules.

In case of serious misconduct or disturbance, Nordseka may terminate the stay without refund.

Any damage, excessive cleaning, or additional costs caused by the guest may be charged.

In the event of an alarm, emergency, or evacuation, guests are required to immediately follow all instructions given by Nordseka staff or emergency services. Failure to comply may result in removal from the premises and may affect liability.

9. Liability and personal property

The stay and use of the hotel facilities are at the guest’s own risk.

Nordseka is not liable for loss, theft, or damage to personal property unless caused by intent or wilful recklessness.

Nordseka is not liable for indirect or consequential loss.

Liability is limited to the amount paid out by the insurer or the value of the reservation, unless mandatory law provides otherwise.

10. Force majeure

In the event of force majeure, Nordseka may amend, suspend, or terminate the agreement without liability.

Force majeure includes events beyond Nordseka’s control, such as fire, flooding, government measures, or pandemics.

Payments already made will be assessed on a reasonable basis.

11. Complaints

Complaints must be reported during the stay to allow resolution.

Unresolved complaints must be submitted in writing within 7 days after departure.

12. Governing law and disputes

All agreements are governed by Dutch law.

Disputes shall be submitted to the competent court, insofar as permitted by law.
